How to Hand Over an After Effects Project So the Next Person Can Open It

Most After Effects projects get opened by someone else sooner or later. A freelancer passes a job back to the agency. An editor needs to change a name in a lower third. Or you open your own work a year on and find you've become the someone else.
After Effects has had good tools for this for a long time, and they all live under File > Dependencies. What goes wrong is usually the order people use them in, and the things those tools don't do. It's one of the questions we get asked most on our courses, so here's the routine we teach, roughly in the order you'd do it.
Save a copy before you start cutting Some of what follows removes things from the project. You can undo it, but I'd rather not rely on that at the end of a long day. Use File > Increment and Save (Ctrl Alt Shift S on Windows, Cmd Option Shift S on a Mac). After Effects saves a numbered copy in the same folder, and you carry on in that one. Your full, messy version stays exactly where it was.
Name things for a stranger This is the step people skip, and it's the first thing the next person notices. A Project panel full of Pre-comp 1 , Pre-comp 2 and Comp 1 copy 3 tells them nothing. They have to open every one to find out what it does.
When you precompose with Layer > Pre-compose, the dialog asks for a name. That's the moment to give it a proper one, because nobody goes back and does it later. I like names that say what the thing is and where it's used, such as PRE_Title_Card_Main or PRE_LowerThird_Name . You don't need a strict naming system for this to work. You need names someone else can read.
A few other habits help:
Keep one top-level comp for each deliverable and name it after the deliverable, for example OUT_Promo_16x9 and OUT_Promo_9x16 .
Sort the Project panel into folders. Numbering them keeps them in order: 01_Output, 02_Precomps, 03_Footage, 04_Audio, 05_Stills. Solids already go into their own folder.
Rename footage that still has camera file names. A003_C012 means something to whoever shot it and nothing to anyone else.
If you use label colours for something, use them consistently and say what they mean in your notes.
After a big round of renaming, play your main comps through once. If an expression has stopped working, After Effects shows an error warning at the bottom of the Composition panel, and it's much better that you see it than the person you've sent it to.
Leave a note inside the project A handover note in an email gets lost. One inside the project doesn't. Make a comp called 00_README so it sits at the top of the Project panel, add a text layer and write down what only you know: which comp is the master, which precomps are safe to edit, which fonts and plug-ins it needs, and anything that looks odd but is deliberate, like a layer that's switched off on purpose.
Turn that text layer into a guide layer with Layer > Guide Layer and it won't turn up in a render.
For notes on particular layers, the Timeline panel has a Comment column. Right-click any column heading and choose Columns > Comment. Composition markers can hold comments too, which is handy for marking where a client change went in.
Reduce Project, and the expression catch Select the comps you're handing over in the Project panel, usually your output comps, and choose File > Dependencies > Reduce Project. After Effects keeps those comps and everything nested inside them, and removes the other comps and the footage they don't use. The command only works when the Project panel is active. If the menu item is greyed out, click in the Project panel and try again.
The catch is expressions. Say a text layer in your output comp takes its colour from a slider in a separate control comp, and that control comp isn't nested anywhere. Reduce Project removes the control comp, and the expression goes with it. After Effects warns you that this can happen, and you can undo, but it's easy to click through the message without reading it.
The fix is the one Adobe suggests. Drag the control comp into the comp that refers to it, then turn off its Video and Audio switches. It's nested now, so it survives, and it doesn't show in the picture.
Two more things to know. Reduce Project keeps layers that are switched off inside a selected comp, so the alternative versions you hid late at night will still be there. Decide whether the next person needs them. And the same menu has two smaller clean-ups. Remove Unused Footage takes out footage that isn't used in any comp. Consolidate All Footage merges footage you've imported more than once, as long as the copies have the same Interpret Footage settings, and points the layers at the copy that's left.
Collect Files Now package it. File > Dependencies > Collect Files makes a new folder with a copy of the project, copies of the footage it uses, proxies if you want them, and a text report listing the files, effects and fonts the project needs. If there are unsaved changes, it asks you to save first.
The main decision is the Collect Source Files menu:
All copies every footage file, including unused footage and proxies.
For All Comps copies the footage and proxies used in any comp.
For Selected Comps copies what's used in the comps selected in the Project panel.
For Queued Comps copies what's used by comps queued in the Render Queue.
None (Project Only) copies just the project file.
For a handover I'd normally pick For Selected Comps, with the output comps selected. The dialog has its own Reduce Projectcheckbox, which reduces the collected copy rather than the project you have open. The same expression catch applies there, which is why I'd rather reduce first, check the
