Television Office Administrator

Serves as the go-to for office enquiries, general administration (reviewing, verifying, and routing correspondence and legal documents, drafting letters and documents, typing, faxing, filing, capturing of updated information, scheduling couriers); Represent management by communicating and obtaining information, following-up on delegated assignments, knowing when to act and when to refer matters;

Establish and maintain legal document database;

Monitor important deliverables and due dates from legal document database and notify legal executive of relevant due dates;

Update all contact lists for internal and external clients;

Assist in the preparation of department budgets and expenses;

Assist with communication and deliverables to finance and invoicing teams for invoicing and payments due;

Maintain client confidence;

Co-ordinate and maintain calendars of management by arrange and schedule meetings and teleconferences with inter-group personnel and external parties as required;

Organise meeting venues, refreshments, full catering or other requirements at meetings or functions;

Maintain and track office supply inventory by checking stock, placing and expediting orders and approve supply orders;

Attend to general administration duties to ensure a smooth process flow of documentation and departmental requirements;

Enhance department and organization reputation by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments.

Requirements:

Grade 12 plus a post matric qualification

Computer literate and proficient (Microsoft Word, PDF, Excel, Microsoft Outlook)

3 years' experience in an office administrative role. Experience in a legal environment will be beneficial.

Excellent organisational skills with the ability to multi-task

Good work ethic with exceptional attention to detail

Ability to work as part of a team

Ability to follow instructions and take initiative when required

Friendly and energetic interpersonal skills

Good computer skills
