How to create a business process with VSNExplorer BPM

Having control over every organization's business process is a crucial aspect for any Broadcast & Media company. In an industry where teamwork between multidisciplinary departments is usual, knowing everything that's going on is indispensable. First steps for your Business Process

At the BP Editor, inside our business process management software VSNExplorer BPM, we can create business processes and activity diagrams. In the video, you can see how to create a business process from scratch, establishing your name and destination folder. We can start our business process from a folder or from an asset. If we started it from an asset, first we would have to upload the information of the asset itself. We will set its class and the system will upload all the asset information from VSNExplorer automatically.

Add tasks to a business process

Once the workflow diagram is created, we can add tasks to the business process and assign those to any user. In this step, we can add various parameters to the tasks and define values for the asset. For example, we can define an e-mail sending as the next task. In this step, we can take advantage of the assets' metadata included in VSNExplorer, which are automatically read by our BP Editor. We can set who must receive this e-mail and we can use the metadata from previous tasks or an asset and make them appear automatically in the e-mail. For example, we can set it to include the title of the asset directly in the e-mail text.

Conditional getaways to path your business process

The BP Editor allows you to add parallel or conditional workflows to your business process. The conditional getaways allow you to control the advance of the workflows in one direction or another depending on the conditions. For example, we can define what we want to happen in the next step if an asset is approved or refused. If the user approves it, we can define its upload to YouTube as the next step. In the other direction of the getaway, if the user refuses it, we can set an e-mail sending as the next step.

Parallel tasks for your business process

Another getaway that we can apply to our business process are the parallel getaways. With them, we can set parallel tasks in the workflow. For example, if we are uploading a video to YouTube,we can set up the system, so it provides us with an asset metadata field in parallel. This way, we can define any action allowed by VSNExplorer to be developed in parallel in the business process. At this point, it's important to note that we must set the end of the process using the end event option.

Control the timing of your tasks

Time control is everything, and that's why we can use the timer included in the BP Editor to add delays and set a predefined time for each task. Once we have all this defined, we can move to VSNExplorer and, from the BPM tab, we will see the already created process. We will be able to check the status of each workflow and all users will know the path they must follow to complete it clearly. And in addition to all these features, there's also the advantage of having a business process management system capable of reading all the metadata of VSNExplorer assets.
