Businesses need to be smart about storing their training videos
There are a few factors to consider when selecting the best storage solution for your training videos and the trick is to find the solution that offers the best balance between them.
The chief considerations are cost and capacity, but these are closely followed by accessibility, security as well as usability. Finding a solution with the right blend of these factors is a challenge often faced by corporate video departments. Higher security can cost more, usability may come at the cost of durability, etc - you need to take a close look at your requirements. So what do you need to consider?
Cost When building your video strategy, one of the first steps is to identify how much you can afford to spend and how much data you need to store. There can be quite a difference in the cost of storage methods, and not just in terms of the initial investment in the equipment itself. As well as the peripherals you might need, such as network switches or load balancers, you'll need to think about the costs associated with the ongoing support that might be needed and future upgrades.
Also take into account the costs of extra media - discs, tapes, drives - that you'll need as your repository grows.
Capacity How much video do you want to store? How many training videos will you be managing annually? Video files continue to grow exponentially - but higher resolutions demand vast amounts of storage.
Also bear in mind how your needs might change over time - how much flexibility will you need for your reversioning projects, can you scale up fast? It could be that you'll only need a large amount of storage for a particular project. How easily can the solution be scaled up or down according to your needs?
With cloud platforms, storage capacity can be scaled up or down, according to requirements and the service subscription can be started or suspending as needed without having to invest in (or write off) hardware.
Ease of use vs. complexity Are you comfortable dealing with a more technical solution or do will your department want something you can just plug in and use? If you have a dedicated Training division, who will be using the system on a day to day basis? How easy is it to add additional files to the system?
If the user finds a system hard to use, they will inevitably find shortcuts and not utilize it properly or, worse still, revert to archaic methods. Make sure your vendor has a robust on-boarding policy to get everyone trained and working collaboratively.
Security and reliability Fail safe back-up systems ensure data is always secure and available. Putting the responsibility on the vendor, removes the need to take on in-house or third party resources. Again, consider the costs associated with ongoing support and maintenance.
Accessibility How will you want to use your repository? If you have more than one location, how will colleagues in disparate places be able to get access to the footage they need? Will clients outside your company require access?
There are obvious security and technical implications for providing remote access to your repository. Often the same manual processes are carried out whether that's FTP'ing a file to somebody or couriering a hard disk drive. These manual activities eat up time and can be costly. In this situation, web-based content deliveries ensure many of these issues become obsolete.
Searching and cataloging To make the most of your training videos you need to be able to organize them easily and find what you need as efficiently as possible. How will this work? Who will ensure the clips are being cataloged correctly?
Alternatively, if you're using standalone media such as hard drives and DVDs to store your training footage, how will you create and manage a system to catalog these?
